Getting started

01. Moving to the new model

What will I need to do when the transition takes place?

If your account was created before 27 September 2026, the first step is to accept the new terms and conditions.

The new terms must be accepted by the account owner, meaning the person who created the BookyWay account.

If you are the owner, a pop-up will appear when you open the admin platform from 27 September 2026, asking you to accept the new terms and conditions. You can postpone acceptance, but only until 12 October 2026.

If you are an administrator, the pop-up will include a button that opens an email addressed to the owner of your centre’s account, asking them to accept the new legal terms by 12 October 2026.

After 12 October 2026, once the new terms have been accepted:

  • if you have up to 25 clients, you will use the Free plan;
  • if you have more than 25 clients, you will need to choose a paid plan that supports the number of clients in your account.

Accepting the new terms does not automatically activate a subscription.

To activate a new subscription, you will need to add a payment method in the relevant section.

By when do I need to accept the new terms?

The new terms must be accepted by 12 October 2026.

Until that date, you can continue using the platform as usual.

If the terms have not been accepted by the deadline, access to the admin platform’s features will be temporarily blocked until they are accepted.

Who can accept the new terms?

Only the account owner can accept them.

Other administrators and personal trainers will be able to view the notice and, if necessary, send a message to the owner.

Will the features I currently use change?

No. The transition only affects BookyWay’s commercial model.
The features available on 27 September 2026 for managing activities, clients and bookings will remain available.

02. If I already have BookyWay credits

Can I continue buying credits?

If your account was created before 27 September 2026, you have completed the trial period and you have not yet purchased your first subscription, you can continue buying credits during the transition period until 12 October 2026.

Once you purchase your first subscription, you will no longer be able to buy new credits.

From 12 October 2026, the credit system can no longer be used as an alternative to a subscription.

What happens to the credits I have already purchased?

You will not lose them. When you purchase your first subscription, any remaining credits will be converted into their equivalent monetary value.

How will the value of my remaining credits be used?

The monetary value of your credits will automatically be used to reduce the amount due for your subscriptions.

If the remaining value is:

  • higher than the subscription price, your first subscription will be fully covered by the credit. The remaining balance will stay available and be used for subsequent renewals;
  • lower than the subscription price, you will pay only the difference;
  • equal to the subscription price, no additional payment will be required.
If the value of my credits is higher than the price of my first subscription, will I lose the difference?

No. The unused balance will remain available and will automatically be deducted from subsequent amounts due until it has been used in full.

03. Which plan do I need?

Your plan depends on the number of clients in your account. You can always choose a higher plan than the minimum required.

Which clients are counted?

All clients listed in your account are counted.

This includes clients who:

  • Without e-mail;
  • are on standby;
  • are no longer active,

if they are still listed in your account.

Clients who have been permanently deleted are not counted.

The number is checked when you choose or change your plan.

I have up to 25 clients. Do I still need a subscription?

No. With a maximum of 25 clients, you can use BookyWay on the Free plan, with no expiry date or subscription fees.

I have exactly 25 clients. Can I stay on the Free plan?

Yes. The Free plan includes up to 25 clients.

You will need to move to a paid plan when you add your 26th client.

Can I delete some clients to move into a lower tier?

Yes. You can delete clients you no longer need from your account records. However, we recommend doing this only when necessary. Find out why 🔗

You will be billed for the full term selected:

  • quarterly: 3 months;
  • annual: 12 months.

Prices exclude VAT, where applicable.

How much will I be charged when I purchase a subscription?

When you purchase a subscription, you will be charged for the full term selected.

For example, with the Small plan:

05. If my number of clients changes

What happens if I exceed the maximum number of clients included in my plan?

BookyWay will not allow you to add clients beyond the limit of your current plan until you upgrade.

For example, the Small plan includes up to 80 clients. Before adding your 81st client, you will need to upgrade to at least the Medium plan.

You can upgrade at any time, and the change takes effect immediately.

When you upgrade, the difference due will be calculated in proportion to the remaining subscription term.

What happens if my number of clients decreases?

Your current plan remains active until its scheduled expiry date.

You can request a lower plan for the following subscription term.

At the renewal date, BookyWay will check the number of clients again and apply the lower plan only if it is suitable.

If I fall below 26 clients, can I return to the Free plan?

Yes. You can schedule a move to the Free plan at the next renewal date.

If your account has 25 clients or fewer on that date, no new paid renewal will be processed and you will move to the Free plan.

06. Renewing and changing a subscription

Does my subscription renew automatically?

Yes. Automatic renewal is enabled by default.

You can turn it off in the admin platform at any time before the expiry date and turn it back on while the subscription is still active.

Can I switch from quarterly to annual billing?

Yes. You can switch from quarterly to annual billing during the current subscription term.
The difference will be calculated in proportion to the remaining term.

Can I switch from annual to quarterly billing?

Yes, but the change will take effect at the next renewal date of your annual subscription.

Can I change my plan?

Yes. You can upgrade to a higher plan at any time.
A move to a lower plan will instead be scheduled for the next renewal date.

No immediate block

07. If a payment fails

If a renewal payment fails, your subscription will remain active until its existing expiry date.
You can update your payment method in the platform.

Why might a payment fail?

A renewal payment may fail because of:

  • an expired card;
  • a declined payment;
  • incomplete 3D Secure authentication;
  • an invalid payment method.

If payment has not been completed by the expiry date, BookyWay will begin sending a series of notices before restricting account features.

Will my account be blocked immediately if I do not have a valid active subscription?

No. Several steps are taken before an account is fully suspended.

At first, you will receive notices and can continue using BookyWay.

If the situation is not resolved, some features will then be restricted gradually.

During the initial stages, you will still be able to access the platform to:

  • reduce the number of clients where possible;
  • complete the payment;
  • update your payment method;
  • update your billing details;
  • purchase a suitable plan.

Each account is separate

08. Using multiple accounts

I use multiple accounts for the same business. What happens?

Each BookyWay account is treated separately.

For each account, BookyWay will therefore assess:

  • the number of clients;
  • the required plan;
  • any active subscription;
  • any remaining credits;
  • acceptance of the new terms.

A subscription purchased for one account is not automatically extended to other accounts.

Any special commercial terms for customers using multiple accounts are agreed directly with BookyWay.

31-day trial

09. Free trial

How does the trial period work?

When you create an account, you receive a 31-day free trial.
During this period, you can use BookyWay with more than 25 clients.

What happens at the end of the trial?

At the end of the trial:

  • if you have up to 25 clients, you will continue using BookyWay free of charge on the Free plan;
  • if you have more than 25 clients, you will need to choose a suitable paid plan.

New accounts cannot purchase credits.

In case of urgent matters, please add the word “urgent” in the subject line of your email. Your message will be flagged as high priority and, after an initial triage, the team will respond as quickly as possible.
An issue is considered urgent if it is blocking your work and cannot be postponed.
