📌An instructor user can be a teacher, trainer, expert, or any professional figure managing activities with registered participants. The system is designed to adapt to many contexts where a qualified and authoritative figure is required to lead or support an activity.
If you want an instructor to see the participants in the activities they conduct, follow these simple steps.
Instructors will only have access to the activities assigned to them and will see real-time booking details.
1. Invite the instructor to BookyWay
Create their profile by entering their name, surname, email, and selecting the “Instructor” role.
The instructor will receive an email with login credentials.
🔐 Note: only the administrator can create and assign an instructor account.
2. Assign activities to the instructor
When creating or editing an activity, select the instructor’s name in the “Instructor” field.
Only then will the activity appear in the instructor’s app.
3. Choose what they can see
In the activity settings, you can define what the instructor is allowed to view:
- No data about the participants (default)
- Only participant names
- Name and contact details of participants

By logging in with their profile, the instructor will see:
- A dedicated menu at the bottom of the app, identified by a star badge
- In the “Activities” section, only those marked with the star (assigned activities)
- A real-time list of participants
- Any messages left by the registered users
4. Activity reports for instructors
In the “Report” section of the platform, you’ll find a dedicated report for instructors to track all conducted activities.
❓What if the instructor can’t see participant names❓
If an instructor reports they CANNOT view participant names, check the following:
- Ensure the activity has been correctly assigned in the “Instructor” field
- Verify visibility permissions in the activity settings: you can choose what data to show (name only, messages, etc.)
👉 Once these parameters are correctly set, the instructor will see the relevant information.
